Under its Customer Zero strategy, the European technology consultancy achieved 90% active usage of Microsoft 365 Copilot in just three months.
Employees who integrated the tool into their daily work reduced time spent on repetitive tasks by up to 10 hours per month.

Prodware Group, a leading European multinational in digital transformation and AI-based solutions, has completed the internal rollout of Microsoft 365 Copilot to more than 1,000 professionals. Thanks to a structured adoption plan, the company reached 90% active usage in only three months. The initiative began in December 2024, when Prodware acquired 1,000 licenses with the aim of embedding the technology across all teams as part of its Customer Zero approach—adopting the solution internally first in order to later transfer that experience to its customers.

The project involved executive leadership as well as teams from digital transformation, IT, HR, AI, security, communications, and key representatives in each country where Prodware operates. The initiative was built around a governance model designed to ensure responsible and effective use of the tool, supported by a process map that identified improvement opportunities across departments. These foundations were reinforced by a training plan combining company-wide sessions with role-specific training for each functional area.

In the first months of deployment, professionals recorded 44,750 monthly actions and spent around 2,000 hours interacting with Copilot. According to internal project data, employees who integrated the tool into their workflows reduced time spent on repetitive tasks by up to 10 hours per month, increased document creation by 10%, and managed 11% more emails thanks to automatic summaries.

A detailed four-week analysis captured more than 11,000 intelligent meeting summaries, nearly 400 additional summaries, 224 hours synthesized, over 1,400 email drafts, more than 1,200 document drafts, 871 editing actions, and over 19,600 prompts sent to Copilot Chat.

To ensure sustained adoption, Prodware launched internal initiatives such as AI Quiz, AI Prompt Challenge, AI Business Challenge, and AI Hackathon, alongside actions like Best Copiloters and Tips & Tricks. These activities supported ongoing adoption and the integration of the tool into daily operations, both in web and work versions.
